Our firm is seeking a detail-oriented and motivated Legal Intake Specialist and Legal Assistant and Paralegal to join our excellent legal team. The ideal candidate will have experience in family law and criminal law and thrive in a fast-paced, team-oriented environment. These roles are essential in support of our clients and attorneys.
Duties for Legal Intake Specialist
Answer incoming phone calls, emails, website inquiries, and text messages from prospective and current clients.
Conduct initial intake interviews to gather relevant information regarding family and criminal law matters.
Assess prospective client needs and determine whether the matter aligns with the firm's practice areas and case acceptance criteria.
Schedule consultations with attorneys and ensure all necessary intake information is obtained prior to appointments.
Explain the firm's consultation process, fee structure, retainer requirements, and payment options.
Maintain accurate and detailed records in clio of all prospective client communications in the firm's case management system.
Follow up with prospective clients regarding consultations, retainer agreements, and outstanding documentation.
Coordinate client onboarding.
Perform conflict checks and ensure compliance with firm procedures before opening new matters.
Collaborate with attorneys, paralegals, and administrative staff to ensure a smooth transition from intake to active representation.
Respond promptly to inquiries and provide timely updates to prospective clients throughout the intake process.
Communicate with current clients regarding case status, appointments, document requests, and general case information.
Perform other administrative and intake-related duties as assigned.
Duties for Legal Assistant
Answer phone calls, manage and respond to inquiries, and direct calls to appropriate staff while maintaining professionalism.
Perform administrative tasks such as scheduling potential new clients, sending legal contracts and maintaining organized records.
Manage and maintain organized case files using Clio and Google Drive.
Maintain and organize client files, both electronic and physical in preparation of trial.
Communicate with current clients regarding case status, appointments, document requests, and general case information.
File legal documents with courts electronically and ensure compliance with local court rules and procedures.
Prepare hearing, mediation, and trial notebooks and assist attorneys in case preparation.
Receive and process incoming mail, emails, and legal documents related to active cases.
Maintain accurate time entries in Clio Manage.
Provide administrative and legal support to attorneys handling family law matters.
Track case progress and follow up on outstanding tasks to ensure timely case movement.
Perform other administrative and legal support duties as assigned.
Duties for Paralegal
Experienced drafter of pleadings, motions and discovery requests/responses
Experienced in billing software and billing procedures -CLIO a plus
Experienced in client case management
Experienced in local Bexar County and surrounding county courts setting procedures and local rules
Experienced in efiling.
Experienced in calendaring deadlines for legal filings and case deadlines
Excellent client communications and case management
An appreciation for family and criminal law cases as it relates to superior client representation and satisfaction

Qualifications
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Proficient computer literacy, including experience with office software such as Microsoft Office Suite (Word and Excel), Google (Gmail, Google Chat and G-Drive), and Clio (Clio Grow and Clio Manage.)
CLIO experience is PREFERRED.
Previous experience in a family law firm is PREFERRED.
Excellent customer service skills with a focus on client satisfaction.
